It is the Policy of West Yorkshire Rospa Advanced Drivers and Riders to follow guidelines set out by UK GPDR Aug-24 / DPA 2018 to the best of Our ability.
What information we collect, use, and why
We collect and use the following legitimate personal information fororganising and informing members about advanced training, informing them about group events, to claim gift aid and mailing them the group magazine:
- Names and contact details
- First line of address and postcode
- Year of birth ( Date of birth required for 25 year olds or under )
- Records of Tutor meetings, training sessions and payment records
- Payment details (including card or bank information for transfers and direct debits)
- Records of consent, where appropriate for gift aid and communications
Our lawful bases for the collection and use of members data
Our lawful bases for collecting or using personal information is fororganizing and informing members about advanced training, informing them about group events, to claim gift aid and mailing them the group magazine are:
- Consent – we have permission from members after they gave us all the relevant information. All, of their data protection rights may apply, except the right to object. To be clear, they do have the right to withdraw their consent at any time.
Where we get personal information from
- Directly from them
- Publicly available sources, DVLA etc..
Security of stored information
- Stored information about members is password protected on computing devices used by Us.
- Hardcopy information about members is stored in a suitable safe place.
Personal Data Breach
- Should we become aware of a personal data breach, we will notify the person / persons as soon as possible by telephone as this may include their bank account details.
- We will make a record of our actions taken, to include the person’s name, time and date of the breach.
- Notify the Committee as soon as possible.
Subject Access Request.
Regarding the information we keep, we are able to:-
- Provide a copy easily of all information held on each member.
- Delete all information held on each member, if requested.
- Modify information held on each member, if requested to do so.
How long we keep information
We keep members personal information while they are a paid up or honorary or life member of West Yorkshire Rospa Advanced Drivers and Riders. It may be necessary to keep some of their information longer for gift aid purposes, but it will be deleted immediately at their request or after 7 years.
How to complain
If a member has any concerns about our use of their personal data, they can make a complaint to us using the contact details below or by using the email address complaints@wyg-roadar.org.uk .
If they remain unhappy with how we’ve used their data after raising a complaint with us, they can also complain to https://www.rospa.com
